Spend limits let team members pay for work on their own, up to a set amount per payment, while larger payments need a yes from the owner, an admin or finance. Set the team limit and personal limits in Company settings › Spend limits. Requests above the limit wait in Spend approvals, and nothing is charged until someone approves.

Before you start

  • You must be the owner, an admin or finance to change limits and approve requests.
  • Limits are in the company's currency.

Steps

1Open Spend limits

Switch Acting as to the company, open Company settings and choose Spend limits.

2Set the team limit

In Company limit, enter the most a team member can pay per payment without approval. Leave it empty to use Belancer's default. Choose Save limit; you see "Limit saved."

3Set personal limits (optional)

Under Limits by person, give someone an Own limit. Leave it empty to use the team limit. Owners, admins and finance show No limit (approves).

4Approve or refuse requests

When someone's payment is above their limit, it appears under Spend approvals with who asked, what for and how much. Choose Approve to let their checkout continue, or refuse with a reason.

5team member: Follow your request

If your payment needs approval, you see it under My spend requests. When approved, continue to checkout. If refused, checkout shows "Your company refused this payment. Nothing was charged."

What happens next

Approved payments are charged to the company's billing profile and appear on company invoices. Each month you can review company spending in Statements & invoices.

Troubleshooting

  • A request expired. It waits 3 days. Ask again, and check whether the offer is still open.
  • I can't change limits. Only the owner, admins and finance can.
  • The offer expired while waiting. Ask the freelancer to send it again after approval.
  • "Your role in this company can't pay for it." Your role can't pay at all; ask someone who can.

Good to know

  • Ask the owner or an admin if you need a limit raised for a project.
  • One currency per company: a company pays in the currency of its country, so limits are always in that one currency.
  • Changing a limit takes effect for new payments; payments already made aren't affected.
  • Posting projects doesn't need approval; paying for add-ons above the limit does.
  • Every charge is recorded with who paid and who approved, so finance can see the full trail.
  • Personal and company money never mix: a member can't use their personal Balance for company work.

Tip: Set the team limit at the size of a typical small task. Big contracts then always get a second look, without slowing everyday work.

Note: Members with Member role can't pay at all; limits apply to roles that can pay.
